Saffron Walden Rugby Football Club Membership Card Policy

Purpose:
This policy outlines the terms and conditions for the issuance, usage, and maintenance of membership cards for Saffron Walden Rugby Football Club. The membership card serves as proof of membership and provides access to various club benefits, facilities, and events.

  1. Eligibility for Membership

Membership cards are available to all individuals who have completed the official registration process and paid the appropriate membership fee for the current season.

  1. Membership Types
  • Coach/Volunteer: For all coaches and volunteers. Criteria must be met to qualify.
  • Senior Player: For players age 18 and over.
  • Social Member: For individuals who wish to support the club without actively playing, including volunteers and fans.
  • Vice President: For individuals who wish to support the club without actively playing, including volunteers and fans. Vice presidents must be voted in at the AGM.
  • Honorary Vice President: Awarded by the club’s committee for distinguished service or contribution to the club. Honorary member is a lifetime membership.
  1. Issuance of Membership Cards
  • Membership cards will be issued upon completion of registration and payment of fees, within 5 working days.
  • Cards will be available for pick-up at the club.
  • Each member will receive one physical membership card per season, which must be presented to obtain the benefits.
  • Membership cards are non-transferable and are issued in the name of the individual member.
  1. Lost or Stolen Membership Cards
  • If a membership card is lost or stolen, the member must report the loss to the club as soon as possible.
  • A replacement card will be issued upon request. A fee of £10 will be incurred.
  1. Card Expiration and Renewal
  • Membership cards are valid for the duration of the current membership period (usually one year, from 1st September to 31st August).
  • Members must renew their membership before the expiration date to ensure continued access to club benefits.
  1. Conduct and Misuse of Membership Cards
  • The membership card must be used in accordance with the club's Code of Conduct and all relevant policies.
  • Membership cards should not be shared, sold, or misused. Violation of this policy may result in the suspension or revocation of membership.
  • The club reserves the right to deny access to any member who is found to be in violation of the membership terms.
  1. Termination of Membership
  • Membership may be terminated by the club for non-payment of fees, violation of club policies, or misconduct.
  • In cases of termination, membership cards must be returned to the club, and the individual will lose access to all club benefits.
  1. Privacy and Data Protection
  • The club will treat all personal data associated with membership in accordance with relevant data protection laws.
  • Members’ information will be used solely for the purposes of managing membership and communication regarding club events and services.
  1. Amendment of Policy
  • The club reserves the right to amend this policy at any time.
